NP Point Member Management
Privacy Policy

This Privacy Policy explains how the NP Point Member Management portal (the “Portal”) collects, uses, shares and protects information. The Portal is operated for Northport Point community organizations to administer member, property and account information.
1. Information we collect
We collect and maintain the following categories of information:
- Account and contact information — name, email address, phone number, mailing address, sign-in identifiers and role or permission assignments.
- Property information — property records, ownership groups, effective-dated ownership relationships and related associations.
- Service and membership information — entity accounts, membership or service categories, requests, notes and administrative dispositions.
- Accounting information — account balances, charges, invoices, statements and payment status as reported by the organization’s accounting records.
- QuickBooks Online data — company information, customer records and vendor records read from a connected QuickBooks Online company, used to reconcile and compare against Portal records.
- Technical and security information — sign-in events, audit and activity logs, IP address, device and browser information, and error or diagnostic logs.
We do not seek sensitive personal information beyond what is necessary to administer accounts and properties.
2. QuickBooks Online integration
When an authorized administrator connects a QuickBooks Online company, the Portal reads company, customer and vendor data for reconciliation and comparison only. In this phase the integration is read-only at the application layer: the Portal does not create, edit, void, delete or pay invoices, payments or any other accounting records in QuickBooks Online.
Access tokens issued by Intuit are stored encrypted and are used only to perform permitted read requests. A connection can be revoked at any time by an administrator in the Portal or from within QuickBooks Online. QuickBooks Online is provided by Intuit Inc. and Intuit’s handling of data is governed by Intuit’s own privacy policy.
3. How we use information
Information is used to:
- authenticate users and control access to accounts and records;
- administer people, properties, ownership groups and entity accounts;
- display account, service and billing information to authorized users;
- reconcile Portal records against accounting records, including QuickBooks Online data;
- communicate about accounts, services and administrative matters;
- maintain audit trails, investigate misuse and secure the Portal;
- improve reliability and functionality, and comply with legal obligations.
4. Service providers and sharing
Information may be shared with service providers that support the Portal, such as hosting, database, authentication, accounting connectivity, email delivery and, where offered, payment processing. Providers may use the information only to perform services for the Portal.
Information may also be shared with the relevant Northport Point organization and its authorized administrators, and disclosed when required by law, legal process, or to protect rights, safety or the integrity of the Portal.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
5. Payments
Where payment processing is offered, payments are handled by a third-party payment processor. Raw payment credentials, such as full card numbers or bank account credentials, are not stored by the Portal. The Portal may retain non-sensitive transaction references such as amount, date and status.
6. Security
The Portal uses administrative and technical safeguards including encrypted transport, encrypted storage of integration tokens, role- and capability-based authorization enforced on the server, row-level access rules in the database and audit logging. No system can be guaranteed completely secure, and information is provided at your own risk.
7. Retention
Information is retained for as long as needed to administer accounts and properties, to maintain accurate historical and audit records, and to meet legal, accounting and recordkeeping obligations. Records that document ownership, account history or administrative decisions may be retained after an individual’s access ends.
8. Your choices and rights
You may ask Northport Point administration to review the information associated with your account, correct inaccuracies, or update your contact preferences. Depending on where you live, you may have additional rights, such as requesting access to or deletion of personal information, subject to legal and recordkeeping limits. Requests can be made through Northport Point administration and may require verification of identity or authority.
Administrative and security-related messages about your account are part of the service and cannot be opted out of while your access remains active.
9. Cookies and technical storage
The Portal uses cookies and similar browser storage that are necessary for sign-in sessions, security and basic preferences. It does not use advertising cookies or third-party advertising trackers. Blocking necessary cookies or storage will prevent sign-in from working.
10. Children
The Portal is intended for adults and authorized representatives. It is not directed to children under 13, and accounts are not knowingly created for children under 13. If you believe a child has provided information, contact Northport Point administration so it can be removed where appropriate.
11. Changes to this policy
This Privacy Policy may be updated from time to time. The effective date above will be revised when changes are made, and material changes may also be communicated within the Portal.
